Check list
Checklists are used as a control list, where the operator must carry out the routine based on thechecklists of thecontrol points in the Routine Management application.
When accessing this page, it will be possible to filter, edit and add new checklists, linked to theroutine plans.
How to access and use
To access the Checklist page, use senior X Platform > Access and Security Management | Round X > Routine Management > Checklists.
Filters
The filters section is used to search checklists already added. Use the plus icon to expand the section and search for the desired filter in the fieldChecklist name, select aStatus between Active, Inactive or All and then press the buttonFilter to open the search filter.
Check list
The checklists already registered are organized in this section by columns, separated by:Indicator,Checklist name, Routine Plan Name,Status It isActions. The default filter only shows checklists with the Active status, but this filtering can be removed by the user.
In the column ofActions, in each checklist, it is possibleTo view,To edit ,Duplicate , Associate Occurrence or Delete a checklist already registered using buttons in icon format: To view , To edit , Duplicate It is Delete. When using the buttonAssociate Occurrence and a type of occurrence, it is possible to select according to the following degrees:
- Critical Occurrence;
- High Occurrence;
- Average Occurrence;
- Low Occurrence;
- Planned Occurrence.
To add
Click the button to open a new General Data page to add a new checklist.
- Checklist name: enter the name to be defined for the checklist in the field;
- Routine Plan: link the checklist to an already registered control point. Enter the name or use the magnifying glass icon to research;
- Email: allows you to enter the email of the manager who will be responsible for checking the completion of checklists in the Routine Management application. When a checklist has the status ofNon-Compliant, the user registered in this field will receive aemail notification with information;
- Status: indicate whether the checklist will be considered Active or Inactive. Inactive items will not be listed when associating a checklist with a control point in the routine plan;
- Item: describe the checklist item that must be done by the operator during the routine action. Example: "Check if the windows are closed."
When adding aItem, a window opens asking for your information. After completing them, the item appears registered in the section below the general data. It is possible thenTo edit,Associate Occurrence or Delete using the button Actions.
Defines whether the user needs to attach any evidence when running a checklist:
- Not obligatory: the evidence is not mandatory and can only be attached if necessary;
- Non-conforming: Evidence is mandatory only for checklists marked as non-compliant. In compliant checklists, it is optional;
- All: Evidence is mandatory in all checklists, regardless of their situation.
Duplicate Checklist
Click the button to open a new General Data page to include a new checklist based on an existing one. When duplicating a checklist, only the associated items will already be filled in, the rest of the fields will be blank.
Important
- To access the Duplicate Checklist button, you must have permission to include checklists;
- The same rules as creating a new checklist apply, not allowing saving without a name or items.
Effects of marking item as Non-Conforming
When checking achecklist in the Routine Management application, the operator indicates the items asAccording to orNon-Compliant according to what was added on this screen.
If the checklist has aType of occurrence associated with it and the control point has a physical location, when a checklist item has been marked asNon-Compliant, an occurrence of the defined type is automatically generated in the Incidents Panel.
Furthermore, managers can be notified by email when an item has a status ofNon-Compliant. To register this notification, perform the following steps:
- On the checklist screen, click the buttonTo add;
- Fill in the fields in General Data;
- Enter the manager's electronic contact in the fieldEmail;
- To theTo save information, those responsible will receive notifications via email regarding compliance with checklists during the routine.
To inform theEmail in an already registered checklist, use the buttonActions on the Checklists main screen and click To edit. Then perform steps 3 and 4.
