Visitor schedules
Register visitor schedules and consult visits planned, in progress, completed or not carried out.
To register a visitor’s schedule:
- On the senior X Platform, access Access and Security Management > Entrance Management > Visitor Scheduling and click the buttonTo add;
- Mandatory, fill in the fieldsReason for visit,Type of visit ,Date of arrival ,Arrival time , Departure date It is Departure time. The system will automatically fill in the fieldExit time with a value that corresponds to one hour more than the value described in the field Arrival time, however it can be edited as needed;
- Optionally, inform theLocal and theOrdinance, and clickAdvance;
- Inform one or more people to receive visitors. To find the name of the visitor, type it in the fieldVisitor's name and then inTo add, or click the magnifying glass button, select a visited one, clickSelect is at To add. The selected person must have at least one active role during the scheduling period, and the role must be configured to receive visits;
- Alternatively, the visitor can register through the Visitor Portal. This is done through an invitation sent by email, with an access link. For more information and configuration details, see item 9 below and also theVisitor Portal;
- click inAdvance;
- To add a visitor, clickTo add and fill in the required fields:Document Type,Document ,Name It isEmail. Optionally, fill in the fieldsTelephone It isCompany;
- You can optionally click on the camera icon to add a photo to the visitor's record. If this is done, if the fieldCreate facial credential oftype of visit selected is activated, the system will validate compatibility with facial recognition for this photo;
- If the visitor is using the company's parking lot, in Visitor vehicle data, fill in the fieldsPlate,Brand , Model It isColor;
- If you wish to send aemail invitation to a visitor, allowing information to be obtained and consent terms to be accepted via chatbot, fill in your email addressEmail on the Invitations tab. Upon completion of registration for this appointment, an email will be sent to each address provided, with a link for the visitor to access the chatbot and carry out the necessary procedures. The email invitation can also be used to register on the Visitor Portal, see item 4 above.
- click inTo add to close the registration or Add and register another visitor to register other visitors more quickly;
- click inTo save to complete the appointment;
- If there are resources associated with the type of visit reported, these can be added to the event. To do this, next to the name of the registered visitor, clickDetail and in the Participant List, Resources tab, clickAdd resources. Fill in the fields and clickTo save.
Note
IfType of visit has a procedure with a consent form, this term will be sent to the visitor's email when the schedule is saved.
Important
The display of options for some fields is restricted to what was configured in thescope registered in senior X Platform roles.
Important
When reporting a visitor registration that is blocked, a message will be displayed communicating the situation. If this occurs, follow the procedures described in the blocking message.
If necessary, it will be possible to undo the association of a visitor with a vehicle, using the buttonRemove vehicle or erasing all vehicle data. To go back and perform this association again, wait a minute;
Note
Vehicles for free use or common use cannot be associated with visitors, only those for private use.
Private use vehicles, in turn, cannot be associated with more than one person. When inserting a vehicle that is already associated with a person, an error message will be displayed.
When a schedule is created or edited, the visitor will receive an email informing the details of the visit, if this has been configured in the Visit Type.
When registering a schedule, visitors will receive an email with visit details when registration is carried out by the scheduler.
Note
The permissions must be configured at senior X Platform > Technology > Administration > Authorization > Role Management.
