Visitor Portal
The Visitor Portal allows pre-registration to be carried out upon receipt of an invitation via email, thus enabling the registration of the invited person and their photo.
Prerequisites for use
At theregistration of ordinances, the fieldLink to bot The ordinance used is optional for using the Visitor Portal, but mandatory for using the chatbot.
At theregistration of visit types, the fieldsAllows visitor self-registration It is Allows access to the visitor portal The type used must be checked so that emails with invitations can be sent. These emails also contain the link for the user to access the Visitor Portal.
Furthermore, for reasons of the General Data Protection Law (LGPD), the type of visit above must contain aprocedure asType of procedure defined as "Has consent form". This procedure must also have consent with a published term.
Use of the Portal
When scheduling a visit, make sure the type of visit has the optionsAllows visitor self-registration It is Allows access to the visitor portal marked. So, after registering the details of this appointment and the person visited, inform theEmail visitor in the Invitations section instead of registering them in the system. This way, the visitor will register through the Portal.
The visitor must open the invitation received by email, access the Portal through the link in the invitation and inform theLocator code described in this email. Then, the visitor must read and accept the consent form. If refused, the system prevents registration and returns to the locator code screen.
With the term accepted, the system displays the screen with the visit information: the type of visit, the employee who will receive the person on the visit, the date and time, the entrance where the visit will take place and whether the schedule has any type of tolerance . The visitor must then inform theDocument type (only types that are defined asMandatory document), yourNumber, O Full name and optionally, your Telephone.
Note
After informing theDocument type and youNumber, editing of these fields is blocked for security reasons. If it is necessary to change this data, refresh the browser page to fill in the fields again.
To add a photo using the webcam, the visitor can click on the camera icon. It is recommended to follow theguidelines for registering photos, to facilitate identification. Some of these recommendations are shown on the capture screen. If instead the visitor wishes to upload an existing photo, simply click on the icon with the upward arrow.
To complete registration, simply clickConfirm attendance. The Portal will display a message confirming that the registration procedures are completed. If the same user logs in to the Portal again, they will be taken directly to this confirmation screen.
